Activate user / terminate test account
You do not need to terminate the test account. The trial account will automatically expire and you will be notified when the trial period will expire. Your account will be deleted some days after termination.
If you want to continue using Onexma after the trial period, you must activate your user(s). Only then you will receive an invoice, which you usually pay by bank transfer. You will receive the invoice by email after activation.
To activate, proceed as follows
Tariff Business: Administration -> Users: mark one or all Users and activate over the list.
Tariff Home: You can find the activation under Settings -> Contract. There you can also pay directly via Paypal or credit-card or wait for the invoice and pay by bank transfer.
Create / manage / delete users
If you have the appropriate authorization, you can manage your employees/users yourself in the Administration -> Users menu.
You can create up to ten users at the same time or import a file with the user data.
To create users, click on Users in the Administration menu and then on "Create user". First enter the default values such as language, currency, activation and rights. In the table below you can and the data of up to ten employees.
Per default, on creation the new users will get an e-mail with their username and password. You can skip that e-mail if you like and send out a new password later.
User rights
User: This user can insert, submit and edit statements as long as the statement is not submitted.
Group approver: This is typically a group, department, project or branch manager or a person responsible for a cost center who is entiteled to approve reports at the first level. The group approver can enter and submit settlements and upload documents, has access to all reports of the users who are aproved by him. Settings typically are made in the usersgroup.
Clerk: The clerk has access to all expense reports of all users and can view, edit and export them. This includes edit lists, payment proposals and assignment lists by customer, project or cost center. The clerk cannot change client settings such as the approval process, passwords or user details.
Admin: The admin has all the rights of the clerk and can also create and change users and edit the client settings incl. passwords and rights and the approval process.
New password
If a user that is created in Onexma has not received access data or lost it please check his email. You can change the user data and have the new password sent to him again. (Administration -> Users)
As long as a new user account has not been confirmed or activated, the user can also be deleted there.
